This explains what personal information Groportune collects, why, who sees it and what you can ask us to do with it. We keep it short and plain on purpose.
1.Who we are
Groportune is a trading name of Softgenix LTD, a company registered in England and Wales (company number 16287677), registered office Silverstream House, 45 Fitzroy Street, London W1T 6EB. Softgenix LTD is the controller of the personal information described here.
For anything about your data, email hello@groportune.com or message us on WhatsApp (+44 7845 580266).
2.What we collect and why
When you contact us or ask for a visibility review. Your name, email address, mobile number if you give it, business name, website, area or postcode, and your message. We use it to reply (by email, or by WhatsApp or text if you gave your number), prepare what you asked for and follow up on that request. Lawful basis: taking steps at your request before a contract, and our legitimate interest in answering enquiries.
When we contact a business about a free website preview. We look for local businesses that advertise their services publicly, for example in local Facebook groups, on Google or on their own website. We use the business details they have published (business name, the owner’s name, phone number, service area, photos of their work and reviews) to send a short, personal message and, if they say yes, to build a preview of a new website. Lawful basis: our legitimate interest in offering a relevant service to businesses, balanced against yours. We send one message and a follow-up at most; if you tell us you’re not interested, we stop and delete what we hold about you.
When you become a customer. Your contact details, billing details, domain name, the content and photos you send us for your website, and our messages with you. We use them to build, host and update your website, take payment and keep business records. Lawful basis: performing our contract with you, and legal obligations such as tax records.
Review requests on the care plan. If you ask us to send review requests, we use the names and phone numbers or email addresses of your customers that you give us, only to send that request on your behalf. You remain responsible for having their permission; we act on your instructions and delete them when the request is done or you leave the plan.
When someone opens a website preview. Our preview server records the IP address, device type and time of each visit. We use this to see whether a preview was opened and to keep the server secure. These logs are deleted after 30 days.
When you browse groportune.com. We only use analytics cookies if you agree to them. See the cookie policy.
3.Website previews
Previews are hosted at preview.groportune.co.uk. Each one is clearly marked as a preview made by Groportune and not the business’s official website, and it is set so search engines don’t list it. Anyone with the link can open it, so we only share it with the business it was made for.
If a preview was made for your business and you want it taken down, tell us and we will remove it, normally within one working day. We remove previews that aren’t taken up within 6 months.
Previews only show real Google reviews, quoted as written, from your public Google profile. Where there is no profile, they show clearly labelled examples, never invented reviews.
5.Transfers outside the UK
Some of these providers are based in, or store data in, the United States or the EEA. Where that happens, the transfer is covered by UK adequacy regulations (including the UK–US data bridge) or by the UK International Data Transfer Agreement or Addendum.
6.How long we keep it
- Enquiries that don’t lead to work: up to 12 months after our last contact.
- Businesses we contacted about a preview: until they ask us to stop, or 12 months after our last contact.
- Website previews: until the business asks us to remove them, or 6 months if not taken up.
- Customer and payment records: 6 years after the end of our contract, for tax and accounting.
- Preview server logs: 30 days.
7.Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal information we hold about you;
- correct anything that is wrong;
- delete it;
- stop or limit how we use it, including objecting to messages about our services;
- send it to you or another company in a common format.
Email hello@groportune.com. We reply within one month. If you’re unhappy with how we handle your information, you can complain to the Information Commissioner’s Office at ico.org.uk, but please talk to us first so we can try to fix it.
8.Keeping it safe
We use encrypted connections (HTTPS), keep access to customer data to the people who need it, and use providers with recognised security standards. No system is perfectly secure, and if something went wrong that put your information at risk we would tell you and, where required, the ICO.
9.Changes to this policy
We will update this page when the way we use information changes, and change the date at the top. If a change matters to customers, we will tell them directly.
